Organizing contact information


In the contact sheet, information about each person will be stored in different information fields. Qoezion offers a number of predefined fields (last name/first name, date of birth, address, etc.), which cannot be deleted or modified. You can also create your own custom information fields.

To manage your contacts' information fields, go to Settings > Contact Information.

Information groups

For better usability, information fields are organized into groups. Predefined fields (last name, first name, etc.) are displayed in the General Information and Further Information groups, which cannot be deleted or modified.

You can create new groups to organize your custom fields. Click and drag the groups to change their order, as well as to move information fields from one group to another.

Click on the name of a group to edit or delete it.

If you delete a group, all the information it contains will be permanently deleted. This means that the information fields will be deleted from all contact sheets, and you will no longer be able to recover the data that was stored in these fields.

Create a custom information field

To create a new information field, click on Add.

You can use an information field from your shared information library or create new information.

When you create new information, you will need to choose the type of information you want, give your new field a name, and list the available options, if applicable.

The information field must be attached to a group (you can use an existing group or create a new one).

Finally, set the privacy settings for the information field:

Public: The information will be visible in the teammate space, where team members can view the answers they provided in the registration form and inform you of any changes.

Private: The information is not visible in the teammate space (for internal use within the organization).

We recommend to use a short, easy-to-understand name for your public information fields.

When you create a new information field, you can choose to add it to your shared information library if you wish.

Edit or delete an information field

In the menu Settings > Contact Information, click on an information field to edit or delete it.

Deleting an information field is permanent. This means that the information field will be deleted from all contact profiles, and you will no longer be able to recover the data that was stored in that field.
